Introduction
Scaling event promotion across multiple countries is no longer only a communications challenge. It is an operational, structural, and strategic one.
Global organizations need to increase registrations, maintain brand consistency, adapt to local market realities, and support execution across regions, often without increasing internal marketing resources.
This was the challenge addressed by the EMEA Social Organic Program developed for Dell Technologies Forum FY25. The program was designed to activate local marketing teams and employees across 22 markets through a structured communication model combining localization, employee advocacy, and AI-supported content adaptation and enablement. An equally important part of the project was training local marketing teams, agencies, and employees to work effectively with the delivered materials and tools, while increasing awareness of why LinkedIn visibility and advocacy matter in event promotion.
The result was a measurable business impact. At the same time, the initiative created a repeatable framework for scaling multi-market event communication without losing relevance, consistency or execution discipline. Across the project, HiFuture worked not only as a content and localization partner, but as the team responsible for coordinating a large, multi-market operating model over the course of approximately nine months, including ongoing collaboration with the client, regular status alignment, and continuous response to local execution challenges.

The Challenge of Multi-Market Event Communication
Large regional event programs require more than content creation. They require a model that can align global strategy with local execution, while keeping operational complexity under control across dozens of stakeholders.
In the case of Dell Technologies Forum FY25, the communication program needed to support 22 markets and 23 events simultaneously while balancing:
In the case of Dell Technologies Forum FY25, the communication program needed to support 22 markets and 23 events simultaneously while balancing:
- Global brand consistency
- Local market relevance
- Operational efficiency
- Resource constraints
- Adoption by local marketing teams, supporting agencies, and employees
The core challenge was not only to generate reach, but to build a system that would allow local marketing teams, supporting agencies, and employees to promote events effectively without increasing marketing complexity. This meant simplifying execution for local marketing teams, equipping supporting agencies to work efficiently with delivered materials, and increasing the contribution of social media to registrations through both marketing enablement and advocacy activation.
In practice, this required more than content delivery. The program had to support adoption across 22 markets, where events were taking place on different timelines, which meant that local execution and employee advocacy activity had to be continuously activated, coordinated, and moderated throughout the campaign cycle rather than handled as a one-off effort.

The Strategic Response: A Social Organic Framework for EMEA
From Isolated Local Activities to a Scalable Communication System
HiFuture Consulting partnered with Dell Technologies to design a Social Organic framework that could be adopted across the EMEA region. The objective was not simply to provide content. It was to create a repeatable operating model for event communication that would allow local teams to act faster, adapt materials more easily, and generate stronger organic performance, while giving the client ongoing operational visibility and support throughout the project lifecycle.
From the beginning, the program was built on three integrated pillars:
From the beginning, the program was built on three integrated pillars:
- Localized communication
- Employee advocacy & trainings
- AI-supported content localization
These pillars were supported by a practical enablement and project management layer, including onboarding, training, PDF guidance, stakeholder coordination, and regular client alignment.
For local marketing teams and agencies, HiFuture delivered six 30-minute guiding calls focused on Communication Plans, posting templates, and efficient use of EMEA-delivered materials. For employees, HiFuture delivered four 35-minute training sessions focused on LinkedIn profile development, personal branding, publishing, network growth, and practical use of the Dell Advocacy Network tool, including dedicated trainings for Poland, South Africa, and France.
Because the program covered 22 markets with events taking place on different timelines, this enablement layer played an important role in maintaining adoption, coordinating local execution, and sustaining employee engagement throughout the campaign cycle. Together, these elements transformed fragmented local social media activity into a coordinated and scalable regional model.

The Social Organic Model: Scaling Event Promotion Across Markets
A structured model that makes organic communication easier to execute
HiFuture Consulting implemented a structured model designed to make organic communication easier to execute across countries. It combined four elements:
Localized Communication Plans
Each market received a communication framework that could be quickly adopted by local teams while maintaining alignment with Dell’s global brand and campaign priorities. The frameworks included ready-to-use post templates (with communication before, during and after the event), communication calendars, promotional materials adapted to local markets, and clear guidance on how to execute communication locally. Personalized promotional materials were also prepared based on briefs submitted by local teams through the Communication Plan Template.
Local teams did not need to build communication from scratch. Instead, they could work within a structured system that reduced effort, accelerated execution, and made rollout across markets more manageable, while preserving local flexibility.

Employee Advocacy Activation
Dell employees were activated as an extension of the marketing channel. Using the Dell Social Advocacy Tool, participants could easily share ready-to-use content through their own professional networks, increasing visibility organically and expanding promotional reach without additional media spend.
Advocacy activation was not treated as a passive distribution layer. It was supported through training focused on LinkedIn profile optimization, personal branding, and practical guidance on how and why to publish content regularly in support of event promotion. This helped increase not only participation, but also awareness of the commercial value of professional visibility and employee-driven amplification.

Training and Enablement
A structured enablement model supported adoption across all markets: onboarding sessions focused on communication plans, advanced sessions on personal branding, LinkedIn optimization and Dell Advocacy Network, detailed PDF guides for local teams, and gamification elements to encourage participation.
It supported three groups at once. Local marketing teams learned how to work with communication plans, delivered materials, and the broader process behind the campaign. Supporting agencies learned how to use Social Organic communication plans step by step, work with detailed posting templates with graphics, and support local teams with on-demand materials. Employees focused on LinkedIn profile development, personal branding, publishing, network growth, and practical use of the Dell Advocacy Network tool.

Technology Stack
A clearly defined technology layer supported scale and efficiency: ChatGPT and HeyGen for translation and personalization, the Dell Social Advocacy Tool for employee-driven distribution, and structured Communication Plans, training workflows, and ongoing project coordination to support local execution across markets. This combination reduced manual workload while improving communication speed, quality, and consistency.
Technology, however, was only one part of the model. AI tools and advocacy technology were not isolated features: their value came from being embedded in a structured operating process supported by enablement, guidance, and day-to-day coordination, as part of a technology-driven campaign designed to simplify local execution and improve adoption.

Results: Social Organic Performance at Scale
Measurable business impact and strong regional activation
The first year of the program delivered measurable impact across the region: the key business results are summarized at the top of this case study. The program also achieved strong regional activation:
Regional activation
22
EMEA markets supported
23
events
103
participants (marketing teams and local agencies) in onboarding sessions
414
participants in advanced training sessions
These results confirmed that a structured Social Organic strategy can directly influence registrations, attendance, and campaign scalability.
Just as importantly, they showed that the model was not only distributed across markets, but actively adopted. The training participation figures, together with the delivery of 427 localized assets, demonstrate that the program combined performance impact with substantial operational support for local execution.

Transformation: From Content Delivery to an Enablement-Led Operating Model
The most important outcome of the program was not only increased registrations. It was the creation of a scalable operating model for multi-market communication, supported by localized execution, employee advocacy, and structured group training that helped drive adoption across markets.
Through the program, Dell Technologies gained:
Through the program, Dell Technologies gained:
- Consistent execution across regions
- Stronger engagement from local teams, supported by structured training on LinkedIn profiles, personal branding, and event promotion through employee advocacy
- Activation of employees as brand advocates
- A repeatable framework for future campaigns
- A more structured way of coordinating local execution across multiple markets
As a result, social media became more than a promotional channel. It became an operational layer supporting event growth across markets.
This shift matters because it shows that the project was not limited to content delivery. It combined communication design, localization, enablement, advocacy activation, stakeholder coordination, and ongoing client collaboration into one structured system. That is the kind of model that helps marketing leaders regain control when multi-market event execution becomes difficult to manage.

Key conclusion: What This Changes in Regional Event Marketing
This case demonstrates a broader shift in how international organizations need to approach event communication. Scaling social media across regions requires more than content production.
It requires a system that connects:
It requires a system that connects:
- Central strategy
- Local adaptation
- Structured employee participation and advocacy activation
- Training and enablement for Sales, Pre-Sales, Key Accounts and local marketing teams
- Technology-enabled scalability
- Ongoing project coordination and response to market needs
- Gamification and motivation mechanisms supporting employee engagement
Organizations that build this kind of structure can increase campaign performance while maintaining consistency and reducing operational pressure on local teams.
For marketing leaders responsible for event programs across multiple countries, the implication is clear: when last year’s model did not fully deliver, the answer is rarely more content alone. The answer is a stronger operating model, one that local teams can adopt, agencies can support, employees can amplify, and central stakeholders can manage with visibility and confidence.

The EMEA Social Organic Program for Dell Technologies Forum FY25 proves that organic event promotion can be scaled effectively across complex regional structures. When communication frameworks, localized assets, employee advocacy, structured training, employee motivation mechanisms, and enabling technology work together, organizations can increase registrations, activate local teams and employees, and build a stronger foundation for future campaigns.
What made this project particularly valuable was not only the performance outcome, but the level of structure behind it: a multi-market model delivered across 22 markets, supported through training, coordination, localized execution, and continuous collaboration with the client over the course of approximately nine months.
For organizations planning event communication across multiple regions, this case shows what strong execution looks like in practice: not a one-off campaign, but a well-managed system that helps teams move faster, stay aligned, and perform with greater consistency.
